Email Alert Triggers for Survey Answers 

Set up automated email alerts for survey responses in Orlo's Voice of the Community module. Get instant notifications when community members submit important feedback.

Things to consider ✅

  • To access the Voice of the Community area, users will need the 'View VOC Module' and 'Manage VOC Projects' permissions enabled in the 'User Settings' area.

  • For email alerts, only one email address can be added to each trigger.

  • Risk Mitigation: Having an immediate alert when a respondent submits an answer to a question, such as a critical issue, allows you to act on it in real time as needed. 
  • Time-Saving: Instead of manually reviewing every entry, responses can be automatically sent to anyone who needs visibility, such as a service area in your organisation. 

 

1) Navigate to the 'Voice of the Community' button on the top dashboard in Orlo.

 

2) Click on the survey page button on the left-hand side.


3) Once in the survey area, click the 'Manage Automation Rules' button on the survey you want to add the trigger to.



4) Click the '+ New Rule' icon on the right-hand side to open the automation creation box, then enter a name for your trigger.

 

 

5) Build out the conditions for your trigger. In the trigger options, you can create single or multiple condition groups using Boolean logic (AND/OR). Select the relevant question and set your operator (e.g. 'equals', 'is any of', or 'is none of'). Please see the example below for guidance


To add additional conditions to the trigger, click on the 'Add condition group' 

 

6) Set up the email alert. Enter the recipient's email address, subject line, and email body.

To auto-populate details such as the project name and owner within the email, click the 'Insert variable' button to add custom fields.

Click 'Save rule' to save your trigger.

 


 

8) Any triggers set up for your survey will appear in the automations overview section. You can edit or delete a trigger at any time by selecting the 'Edit' or 'Delete' button.
